Privacy Policy

This section describes how information is collected, used, and shared when you visit https://www.theguelphdentist.com (the “Site”). It supplements our Notice of Privacy Practices, which governs protected health information within our practice.

Information We Collect Automatically

When you visit the Site, we automatically collect certain information about your device, including your web browser, IP address, time zone, and some of the cookies installed on your device. As you browse the Site, we also collect information about the individual pages you view, the websites or search terms that referred you to the Site, and how you interact with the Site. We refer to this automatically collected information as “Device Information.”

We collect Device Information using the following technologies:

  • Cookies — data files placed on your device that often include an anonymous unique identifier. For more information about cookies, and how to disable them, visit https://www.allaboutcookies.org.
  • Log files — which track actions occurring on the Site and collect data including your IP address, browser type, internet service provider, referring/exit pages, and date/time stamps.
  • Web beacons, tags, and pixels — electronic files used to record information about how you browse the Site.

Information You Provide

We also collect information you provide voluntarily — for example, when you complete an online request or appointment form, contact us by email or phone, or provide your mobile number to receive text messages from us. This may include your name, contact details, mobile phone number, and any information you choose to share with us.

How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and provide the services you request;
  • Send you text messages you have consented to receive, such as appointment reminders and customer care messages;
  • Screen for potential risk and fraud (in particular, using your IP address);
  • Improve and optimize our Site — for example, by understanding how visitors browse and interact with it; and
  • Assess the effectiveness of our marketing and communications.

Text Messaging (SMS) and Mobile Opt-In

No mobile opt-in message consent will be shared with third parties or affiliates for marketing purposes.

If you consent to receive SMS from The Guelph Dentist, you agree to receive appointment reminders, customer care, and conversational SMS messages from us. Reply STOP to unsubscribe; Reply HELP for help; Msg&Data rates may apply; Messaging frequency may vary.

Your mobile phone number and your consent to receive text messages are collected only when you provide them to us directly — for example, on an appointment request form, on a patient intake form, or by texting us first. We use your mobile number solely to send the messages you have consented to receive and to respond to you.

Mobile information — including your phone number and your opt-in consent — is never sold, rented, or shared with third parties or affiliates for their marketing purposes. We share this information only with the service providers who deliver messages on our behalf (for example, our telecommunications and messaging platform providers), and only for the purpose of operating our text messaging service. These providers are not permitted to use your information for their own marketing.

You may withdraw your consent at any time by replying STOP to any message from us, or by contacting our office directly. Once you opt out, we will stop sending you text messages, though we may send one final message confirming your opt-out.

How We Share Your Information

We share Device Information with third-party service providers who help us operate and understand our Site. For example, we use Google Analytics to help us understand how visitors use the Site. You can read about how Google uses this information at https://policies.google.com/privacy, and you can opt out of Google Analytics at https://tools.google.com/dlpage/gaoptout.

We do not share, sell, or rent mobile opt-in consent or mobile phone numbers with third parties or affiliates for marketing purposes.

We may also share your information to comply with applicable laws and regulations, to respond to a subpoena, warrant, or other lawful request for information, or to otherwise protect our rights.

Do Not Track

Please note that we do not alter our Site’s data collection and use practices when we receive a Do Not Track signal from your browser.

Your Rights Under Canadian Law

Because our practice operates in Ontario, our collection and use of personal information is governed by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, for personal health information, Ontario’s Personal Health Information Protection Act (PHIPA). Our commercial electronic messages, including text messages, are governed by Canada’s Anti-Spam Legislation (CASL).

We do not sell or rent your personal information. Information we collect is used to provide the services you request and to improve your experience with our Site and practice. You have the right to access the personal information we hold about you and to request corrections, and to withdraw your consent to receive electronic messages at any time. To make a request, please contact us using the details below.

Data Retention

When you complete an online form, email us, or call us, we retain that information to provide you with the service you requested, until you ask us to remove it. If you opt out of text messages, we retain a record of your opt-out so that we can honour your request and avoid contacting you again.
